TBP Retreat Registration/Front Office Administration Job Description – June 1, 2022
- Reports to the Executive Director and works closely with all Thomas Berry Place (TBP)
team members; the RR/AA will coordinate and manage all retreat registration processes, front office administration duties, and other duties as assigned by the executive director. - The RR/AA position requires very strong interpersonal and customer relationship skills,
and strong working knowledge and proficiency in the English and Spanish language, and Microsoft Office 365 programs.
Major Responsibilities / Duties
- Oversee and manage all aspects of retreatant records, reservations, and hosted/preached
/directed retreats, conferences, and meetings.
Pre- and post-conference, meeting, and retreat logistics which include but are not limited to:
- Room assignments, key cards programming, name tag generation, scheduling
technology set-up and HVAC programming
- Receiving and routing all retreat deposits and payments
- Manage, maintain, and update electronic and manual filing systems to ensure the integrity of all
retreatant data and generate reports as needed - Produce and distribute written correspondence and email memos, forms, calendars, labels, lists
as well as materials for retreat coordinators and special events. - Monitor, inventory, and order supplies
- Assist with the production of the annual retreat schedule
- Provide ongoing support to all TBP team members and guest directors
- Acts as “Gatekeeper” and first point of contact which focuses on:
- Greeting and assisting all retreatants, vendors, and visitors
- Answer and direct phone calls, e-mails, and voice messages to team members
- Monitor front office equipment, specifically printer maintenance and coordinate of preventive maintenance and repairs
- Receive, sort, and distribute the daily mail and packages
- Monitor security cameras on computer live-feed
- Carry out additional clerical duties such as:
- Filing, typing, copying, and scanning documentation as needed
- Inventory and order mailing supplies and postage
- Other duties as assigned
Requirements / Qualifications
- Strong interpersonal skills
- Excellent written and verbal communication skills with strong attention to detail and
accuracy - Proficient in Microsoft Office Suite 365 (especially Excel, Word & Publisher)
- Experience with Internet navigation/research
- Ability to manage multiple projects simultaneously while meeting deadlines
- Ability to handle confidential information appropriately
- Strong word processing skills
- Proficient in English and Spanish

This position is part-time to begin and goes full-time in Fall 2022. The position is Tuesday through Saturday. Requiring Friday nights and occasional evenings during the week.
